The Charitable Foundation “Tabletochki” provides assistance to children from birth to 18 years old with cancer, hematological and some other deadly diseases.
Such a responsible mission requires a technological solution that will ensure the smooth operation of the foundation and comply with legal regulations.
“Tabletochki” is a non-profit organization. For a long time, the foundation used a different system. In fact, when it came to choosing an accounting software, it was almost the only program adapted for Ukrainian non-profit organizations. It was also affordable – the resources that a nonprofit organization can spend on maintenance are limited by law.
Searching for an alternative system is about security and transition to modern accounting solutions. Thanks to SAP, “Tabletochki” changed its business processes and switched to SAP Business One, an ERP system used worldwide.
In four months, the system was integrated into the foundation’s work, and Tabletochki began to transition to working in it. The following functions were implemented as part of the project:
- Maintaining accounting and personnel records in accordance with Ukrainian law.
- Reflecting mutual settlements with clients in the statutory report.
- Management reporting in the context of assistance programs.
- The process of reconciling documents when exceeding specified limits.
- Maintaining the “Goods” directory in the context of the international non-proprietary name of medicines (active ingredient).
- Automatic distribution of requests to suppliers (online tender).
“Changing, or in our case building, an accounting system is a slow, complex and expensive process. “It took years for “Tabletochki” to abandon the cheap Russian 1C system that was not adapted to our needs and switch to SAP, one of the world’s leading software companies. We strive to change from the inside to become better from the outside – to implement new long-term projects; to attract complex international funding; to be a reliable partner for hospitals, the state, and donors; to bring closer a future where no Ukrainian child dies of cancer.
I am grateful to SAP Ukraine for providing an acceptable offer, to best-run Consulting for professional and quick support of the system adaptation and deployment, and to the international Choose Love Foundation for covering the costs of this project,” says Vyacheslav Bykov, Executive Director of “Tabletochki”.
“The implementation of SAP Business One in the work of the charitable foundation “Tabletochki” is a project that demonstrates that, despite the difficult conditions in the country, the company is ready for change and is improving its processes. Thanks to modern SAP technology, “Tabletochki” will be able to reduce its operating costs, increase productivity, facilitate cooperation with various organizations, and effectively develop new sources of funding. Using the latest technologies is the way forward for any organization that wants to work more efficiently and effectively, and we congratulate “Tabletochki” on this important step,” comments Anna Mikulytska, Managing Director of SAP Ukraine.
The implementation of SAP Business One and additional localization modules for the Tabletochki charitable foundation is being carried out by best-run Consulting
“When implementing ERP projects, the responsibility is always 50/50 between the client and us, the integrators. I would like to emphasize the deep involvement of all users in the implementation process, and especially Vyacheslav Bykov, the foundation’s executive director. Thanks to the effective synergy of the teams, we managed to implement SAP Business One on time,” says project manager Dmytro Semeniuk.
“In this difficult time, our mission is to offer Ukrainian companies and organizations the best alternative to Russian software. Why SAP Business One? Because it is one of the best ERPs in the world for small and medium-sized businesses. And today, in our country, it is one of the few systems that covers the key needs of companies and organizations (including tax accounting according to the standards of Ukrainian legislation and payroll and HR accounting),” says Volodymyr Bilous, CEO of best-run Consulting.
Thanks to the work of the charity foundation “Tabletochki”, more than 5,000 children have received the necessary treatment, prostheses and the opportunity to be treated abroad, and families going through a difficult stage in their lives can count on psychological, medical and social support.
This cooperation will help the development and growth of the charitable organization, which does so much for the little heroes fighting for their lives.
